Data & AI readiness worksheet

Clarify a potential AI use case, its data, evaluation criteria and human responsibilities before committing to implementation.

Start with one business decision or task. Work through this guide with the process owner, data owner and the people who will use the result. It is a discussion aid, not a certification, automatic score or prediction of return on investment.

1. State the use case and a simpler alternative

  1. What decision or task should improve? Describe the user, input, expected output and current approach.
  2. Could clearer process rules, reporting or integration solve the problem without AI? Record why AI is being considered.
  3. What is the cost of a wrong or missing answer? Identify situations that always require human review.

Notes: evidence · owner · open question · next verification step

2. Check data availability and ownership

  1. Where does the required data originate, including SAP or Microsoft Dynamics 365 where relevant? Record the owner and permitted uses.
  2. Does a representative sample include normal cases, exceptions and recent changes? Note missing fields, inconsistent identifiers and known quality issues.
  3. Which personal, confidential or restricted data must be excluded or protected? Resolve access and retention responsibilities before preparing a pilot.

Notes: evidence · owner · open question · next verification step

3. Define evaluation before implementation

  1. What existing method provides the baseline? Choose measures tied to the task, such as correctness, time to review or exception handling.
  2. Who can provide representative test cases and judge the output? Keep evaluation cases separate from material used to configure the solution.
  3. What result would justify continuing, revising or stopping? Record acceptance criteria and unacceptable failure cases before testing.

Notes: evidence · owner · open question · next verification step

4. Plan the operational handover

  1. Where will the result appear in the working process? Specify interfaces, permissions, human approval and the fallback when the service is unavailable.
  2. Who monitors quality and changes in the underlying data? Name the person responsible for investigating a disputed result.
  3. How will the pilot be restricted, documented and reversed? Agree the review date and evidence needed for a rollout decision.

Output and next step

Prepare a use-case statement, a data inventory, a small set of representative evaluation cases and a list of unresolved permissions or ownership questions. A readiness discussion should identify the next evidence-gathering step; it should not promise model accuracy, savings or regulatory compliance before assessment.
